At Ekuseni, we understand that planning an adventure across Tanzania, Zanzibar, Kenya, or South Africa is a significant personal investment. We want you to feel confident and secure in your arrangements. While we offer a high level of flexibility, our policy must also respect the commitments we make to local partners to secure your unique experience.
Life happens, and plans can change. This policy is written with transparency and fairness, outlining how we handle cancellations and refunds.
Why Funds Are Committed in Advance
To guarantee the smooth execution of your personalized trip, Ekuseni makes numerous non-refundable financial commitments long before your arrival. These advance payments are necessary to secure the highest quality services and logistics for you.
Essential Park Fees and Permits: Entry fees for national parks (like the Serengeti, Ngorongoro, or Kruger) and climbing permits (like Kilimanjaro) are paid to government authorities well in advance and are non-refundable once issued.
Accommodation and Regional Flights: We work with hand-picked lodges, camps, and local airlines. Once we confirm your booking with them, their individual cancellation terms often apply, meaning funds allocated for these services may become non-refundable to us.
Ground Logistics and Preparation: A significant portion of your payment covers the advance procurement of fresh supplies, specialized gear, and local transport logistics. Most importantly, it covers the planning and dedicated effort invested by the Ekuseni team and your local guides to prepare your personalized itinerary.
Our Commitment to Flexibility and Trust
In keeping with our “visit a friend” philosophy, we promise to be as accommodating as possible.
Exceptional Circumstances: In the event of serious unforeseen circumstances (such as a documented medical emergency or travel restrictions due to natural disasters), we will advocate for you. We will collaborate closely with all our partners to try and minimize penalties and secure the maximum possible refund on a case-by-case basis.
Case-by-Case Review: Every cancellation request is important to us and will be evaluated individually to ensure the fairest possible outcome.
Cancellation Guide: The Details
In keeping with our “visit a friend” philosophy, we promise to be as accommodating as possible.
More than 90 days: 15% of the total tour price.
60 to 89 days: 30% of the total tour price.
30 to 59 days: 50% of the total tour price.
Less than 30 days: 100% of the total tour price.
Important Note: The above fees cover Ekuseni’s internal costs and preparation time. If specific third-party penalties (e.g., non-refundable flight tickets or strict lodge cancellation policies) exceed the percentages listed above, the higher third-party penalty amount will be used to determine the final non-refundable amount.
Any bank charges incurred for processing a refund will be deducted from the final refund amount.
Keep Your Travel Dreams Alive: Lifetime Deposit
We want to help you make your trip happen, even if the timing isn’t right now.
Instead of a full cancellation, you have the option to convert your initial deposit into a Lifetime Deposit. This means your deposit is held securely by Ekuseni and can be applied toward the cost of any future trip booked with us, with no expiration date.
Please be aware: If you reschedule your trip, the new booking will be subject to the current pricing at that time. This might mean an additional payment is required to cover factors like increased park fees, updated flight costs, or seasonal price adjustments.
The Smart Choice: Travel Insurance
Because of the non-refundable nature of many pre-paid services, we strongly recommend that you secure a comprehensive Travel Insurance policy immediately upon booking. This insurance should cover trip cancellation, interruption, medical expenses, and emergency evacuation.
This is your best protection against losing money due to unforeseen events.
When the time comes to make a claim, we are happy to provide any documentation required to support your claim.
