Welcome to Ekuseni! We are thrilled you are planning your adventure with us. Our goal is for you to feel like you are visiting a friend, and a good friend always sets clear expectations. By booking your travel arrangements and logistics with us, you agree to the following terms and conditions. Please take a few moments to review them carefully.
1. Booking Your Adventure and Payment
The Deposit
To confirm your personalized travel arrangements, we require a non-refundable 30% deposit of the total tour cost. This commitment allows us to immediately secure critical services like park permits and premium accommodation. We ask that this deposit be settled within 7 days of receiving your initial booking confirmation.
The Balance
The remaining balance of your payment is due at least 30 days prior to your scheduled arrival date (departure). For bookings made within 30 days of travel, full payment is required immediately to secure all services.
Pricing and Adjustments
All prices are quoted in US Dollars (USD). While we strive to maintain our quoted prices, Ekuseni reserves the right to adjust them if necessary due to factors beyond our control, such as significant currency fluctuations, fuel surcharges, charge of your travel plan, government-imposed taxes, or unexpected increases in park/conservation fees in Tanzania, Zanzibar, Kenya, or South Africa. Any necessary price changes will be communicated to you as soon as they are known.
2. Cancellation of Your Trip
We understand that circumstances can change. All cancellations must be formally submitted to Ekuseni in writing via email. The date we receive your email determines the applicable cancellation fee.
More than 90 days: 15% of the total tour price.
60 to 89 days: 30% of the total tour price.
30 to 59 days: 50% of the total tour price.
Less than 30 days: 100% of the total tour price.
Note on Third-Party Costs: As outlined in our separate policy, this fee structure covers Ekuseni’s internal preparation. Any non-refundable costs imposed by external suppliers (such as airlines, certain lodges, or specific activity providers) may exceed these percentages, and the higher amount will be applied.
No refunds will be issued for any unused services, missed activities, or if you fail to show up for your trip.

3. Essential Travel Documentation
It is the client’s sole responsibility to ensure all necessary travel documents are in order for Tanzania, Zanzibar, Kenya, or South Africa. This includes a valid passport (with at least six months validity beyond your return date), all required visas, and any mandatory health certificates or entry requirements.
While the Ekuseni team will offer general guidance on these matters, we cannot be held responsible for any travel delays, denied entry, or issues arising from incomplete or incorrect documentation.
4. Our Commitment to Safety and Your Responsibility
Health and Fitness
Some of our unique travel experiences, such as mountain trekking or extended safari drives, require a reasonable level of physical fitness. By booking, you attest to your own ability to participate safely. You must inform us in detail of any existing medical conditions, allergies, or serious dietary restrictions at the time of booking so we can make the appropriate arrangements.
Liability
Ekuseni acts as an agent in arranging services from third-party suppliers (e.g., local airlines, hotels, vehicle providers, etc.). We are not liable for any loss, injury, damage, or delay caused by the negligence or actions of these third-party suppliers, or by events entirely beyond our control. This includes but is not limited to: acts of Force Majeure (natural disasters, political events, pandemics, etc.), loss or damage to personal belongings, or any client’s failure to respect local laws and customs.
5. Travel Insurance is Essential
Your safety and peace of mind are non-negotiable. We strongly advise all clients to obtain comprehensive travel insurance immediately upon confirmation of your booking. This policy should cover:
Medical expenses and emergency evacuation.
Trip cancellation and interruption.
Loss or damage to personal belongings.
Ekuseni cannot be held responsible for any financial costs incurred by you due to the lack of appropriate travel insurance.
6. Itinerary Changes and Operational Decisions
Ekuseni is committed to providing the flexible and high-quality experience you expect. However, we reserve the right to make minor adjustments to your itinerary when necessary due to factors impacting safety or logistics, such as severe weather, government-imposed park regulations, changes in local conditions, or unforeseen circumstances.
We will always strive to provide suitable alternative arrangements that maintain the integrity and quality of your planned trip.
7. Client Conduct and Respect
Part of being a welcomed friend is showing respect for the environment and the host communities. Clients are expected to:
Respect all local laws, customs, and environmental regulations in Tanzania, Zanzibar, Kenya, and South Africa.
Be considerate and respectful of fellow travellers, your Ekuseni staff, and local community members.
In cases of disruptive or non-compliant behaviour, Ekuseni reserves the right to remove the client from the tour without any entitlement to a refund.
8. Governing Law and Disputes
These terms and conditions are governed by the laws of the United Republic of Tanzania. Any disputes shall be addressed and resolved exclusively in the competent courts of Tanzania.
